How do I print an Organizer as a password protected PDF to e-mail to my client?

Solution:

Beginning in 2012 Lacerte Tax, you can now send a PDF Printed Organizer via Email to a Client.
 

*Note- Only one Client can be selected at a time to use this option; if multiple Clients are selected the Email (PDF) option will not be available to select. Multiple Clients can be selected to print to PDF in batches, but not to also use the Email option.

 

To Print an Organizer as a password protected PDF to e-mail to your client:

  1. Click on the Clients tab (to view the list of your clients).
  2. Click on Tools.
  3. Click on Organizer.
  4. Click on Print Paper Organizer from the left navigation panel.
  5. Select the type of Organizer you want to print:
    • Complete Organizers
    • Condensed Organizers (This option is not available in the Fiduciary module.)
    • Partial Organizers
       
  6. Highlight the client under the Available Client section.

    *Note- Only one Client can be selected at a time to use this option; if multiple Clients are selected the Email (PDF) option will not be available to select. Multiple Clients can be selected to print to PDF in batches, but not to also use the Email option.
     
  7. Click on Add. (This will move the highlighted client from the Available Clients section to the Selected Clients section.)
  8. Click on Print.

    Note- If this is your first time printing organizers for this year, you will be asked to if you want to set your Organizer Options. If this is not your first time printing organizers this year skip to Step 9. 
    1. Click yes to set your Organizer Options
    2. Select the pages you want to include in the organizer in the Organizer Options:
      • Suppress omits the page from the Organizer even if the clients prior year tax return requires information from this page.
      • Force prints the page even if the clients prior year tax return did not require information from this page.
      • When Applicable prints the page only if the clients prior year tax return requires information from this page.
         
    3. Click OK after selecting the desired options.
    4. Click Print.
       
  9. Select the desired Document Options and Organizer Print Options.
  10. Click OK.
  11. Uncheck the Printer and File (PDF) checkbox.
  12. Check the box,  Email (PDF).


     
  13. Click OK.

After clicking OK, Lacerte will calculate and generate a PDF of the Organizer. Depending upon the type of MAPI compliant email program that you have, an e-mail will be created automatically containing a Password Protected PDF copy of the client's Organizer.  The outgoing email may be edited before sending, if desired.
