How to print W-2s, W-3s, 940s, and 941s

This article explains how to print W-2s, W-3s, 940s, and 941s from EasyAcct.

  • Before printing any annual payroll tax forms for a company, print the Earnings Report to verify wages and withholdings are correct.
  • Access Print Reports in either the Write-up Processing or the Batch Payroll Processing modules.

To print Forms W-2 and W-3

  1. Select to print W-2/W-3 in the Tax Reports section of Print Reports.
  2. In the Year field, indicate the tax year to be printed. Select print to begin printing.
  3. Print W-2 forms for a range of employees by entering information in the W-2 Form Printing screen.
    • If you leave the Beginning and Ending Employee ID fields blank, the system prints W-2s for all employees.
  4. The two-letter abbreviation for the state you are processing is automatically displayed in the State field.
    • Additional states and IDs are automatically entered as needed, based upon any additional state tax ID information entered in the Company Info screen.
  5. Select which copy of the W-2 to print.
  6. Click Print to begin printing W-2s.

To print Form 940

  1. Select to print 940 in the Tax Reports section of Print Reports.
  2. In the Year field, indicate the tax year to be printed. Select Print.
  3. Information can be edited on the IRS Form 940 screen before printing the form.
  4. Once the information on this screen is correct, click Print.

To print Form 941 or 944

  1. Select either form 941 or 944 in the Tax Reports section of Print Reports.
  2. Indicate the appropriate tax quarter and year in the Quarter and Year fields. Click Print.
  3. Input screen information can be edited before printing the form.
  4. Once the information on this screen is correct, click Print.
    • If there is a Balance Due, the system prompts you to print Form 941-V. Press ENTER if you choose to print this form.
